Position Description:

The SAJE Judicial and Legislative branch sectors are looking for an ambitious project coordinator seeking the opportunity to join a growing, fast paced and fun team. The role requires a mix of administrative tasks and project coordination activities to help each management team operate more efficiently while also ensuring our teams remain compliant with all CGI Federal requirements. The project coordinator will have the opportunity to collaborate with leadership, a variety of sector teams as well as corporate teams on a daily basis.

Your future duties and responsibilities:

•Assist both the SAJE Judicial and Legislative branch sectors with event and meeting planning, organization and coordination to include evaluating appropriate schedules, reserving space, ordering food, and preparing materials as well as documenting meeting minutes as needed

•Support Directors within both sectors in creating and submitting accurate expense reports, receipt tracking, and ensuring proper procedures are followed according to the CGI Federal guidelines

•Maintain internal rosters, organizational charts, and distribution lists

•Participate in quarterly all hands planning, coordination, and development of PowerPoint slides where needed

•Work with hiring managers and HR to support on-boarding tasks as well as off-boarding tasks for the sector and also for the SAJE Judicial sector client

•Track overall sector compliance activities such as mandatory training, recurring data submission requirements, etc.

•Partner with Judicial Sector Operations to:

o Learn and leverage project management tools such as JIRA and Confluence to assist with task and issue tracking and weekly reporting

o Aid in the review and development of Standard Operating Procedures and Project Plan components

o Perform document Q/A reviews based on a quality review check list

o Maintain sector ensemble site to ensure files remain organized and all required documents are uploaded

o Deliver recurring status reports to the SAJE Judicial client

o Coordinate recognition programs as well as process any awards that may accompany certain types of recognition

o Deliver special projects as deemed appropriate by the sector operations lead and/or sector leadership

Required qualifications to be successful in this role:

-Bachelor’s degree and or equivalent work experience

-At least 1 year of admin work experience

-Excellent skill using Microsoft Office suite

-Exceptional organization skills

-Great communications skills

-Highly collaborative and self-motivated

Desired Skills:

-Experience using JIRA

-Experience using Confluence

-Project coordination experience

-Project Management Office experience (PMO)
