Position Description:

Under the direct supervision of the Assistant Operations Manager, plans, directs, and coordinates the daily activities of travel document production, quality control, and mail-out procedures. Plans and establishes procedures and methods to meet changing production requirements. Assists in the preparation of plans to ensure the employees meet fluctuating workload requirements, particularly during the peak season. Ensures travel document inventory levels and other supplies are on hand to meet current and anticipated demand. Reviews production reports. The incumbent must resolve all administrative, personnel, and operating problems associated with managing the production team environment in order to assure timely issuance of travel documents.

Your future duties and responsibilities:

-Responsible for keeping Assistant Operations Manager informed of production status and operations concerns.

-Effectively transitions work between the various production sections.

-Resolves all administrative, personnel, and operating problems associated with process management functions in order to assure timely issuance of travel documents and to meet Department of State expectations.

-Maintains constant oversight of travel documents, foils, and ribbons, to include inventories, deliveries, and daily assignments.

-Develops work assignments and ensures that all subordinate supervisors are informed of changes in laws, government regulations, policy, and procedures affecting their work and such changes are understood and implemented.

-Trains supervisors in work procedures, regulations, other assigned production responsibilities and reviews team members work.

-Interprets policies, procedures, and goals of the organization for assigned staff.

-Responsive to employee issues and helps to build team morale and cohesiveness.

-Makes recommendations regarding staffing on all contract personnel.

-Effectively communicates with the management team by taking the initiative to address procedural revisions, personnel issues, and workflow problems.

-Evaluates and audits employees’ production for quality and quantity.

-Facilitates quality improvement programs and ensures customer service levels meet or exceed goals.

-Compiles and develops management reports including production performance reports utilizing Microsoft Office applications.

-Verifies adherence to all DoS and Facility security regulations.

Required qualifications to be successful in this role:


  • Bachelor’s Degree; Management, Business Administration, or any related Business degree

  • U.S. Citizenship Required

  • Must be fluent, speak, read, write English without translation assistance

  • Minimum Ten (10) years of progressive management experience and

  • Minimum five (5) years of experience supervising workforce of 4 or more employees in a tangible goods production environment.

  • Experienced preparing business, technical, and personnel reports, reviews, and documents for internal and external use
