Position Description:

Under the supervision of the CGI Federal Administrative Officer, perform a variety of administrative/ clerical functions for the Department of State/Passport Regional Management Staff and CGI Federal Management staff located at the Tucson Passport Center.

Specific Duties:

•Assume the duty of clerical and administrative support in order to optimize workflow procedures in the office.

•Serve as the primary point of contact with Consular Affairs (CA), Office of Personnel in Washington, D.C. on all local Department of State employee personnel and attendance matters.

•Organize and maintain confidential employee records and subject matter files for the local Department of State employees.

•Adhere to the Federal Privacy Act Laws and have knowledge of Department of State personnel rules and regulations including the Foreign Affairs Manual Volume III (FAM-Personnel).

•Track and report official time and attendance records for all local Department of State employees and contract employees (as needed).

•Assist local Department of State personnel with travel arrangements.

•Answer phone calls and must demonstrate ability to diplomatically and effectively deal with calls from the general public as well as Government officials.

•Assure timely submission of reports as required by managers.

•Assist managers with mail-out and administrative support functions.

Assist the CGI Federal Secretary with timesheet approvals and processing as needed.

•Type/create memorandums and correspondence as requested by management.

•Attend meetings and generate minutes as necessary.

•Escort visitors and vendors as needed.

•Perform other duties as required.

Your future duties and responsibilities:

*Excellent verbal and written communication skills

*Excellent interpersonal skills

*At a minimum, intermediate functionality in MS Office applications, including MS Word, MS Excel and MS Powerpoint

  • Ability to obtain and maintain a Secret clearance

  • Ability to prepare management, business, technical, and personnel reports, reviews and documents for internal and external use

*Operate office machinery to include office phones, copiers, electronic fax, and printers without assistance

*Ability to perform the functions of the job on site- remote work is not possible

Required qualifications to be successful in this role:

Associate degree in business related field.

Minimum Years of directly related experience Required: 5 years related work experience in an administrative/clerical role

Minimum Education Required: High School Diploma/GED

Active Secret Clearance
